This policy explains what personal information we collect, how we use it, and the choices and rights you have. We have written it in plain English and kept it as short as we can.
01Who we are
Zeeniya Business Solutions Limited, trading as Zeeniya Consulting (“we”, “us”) is a company registered in England and Wales (company number 09302720), with its registered office at 167–169 Great Portland Street, 5th Floor, London W1W 5PF. We are the data controller for the personal information described in this policy.
If you have any questions about this policy or how we use your information, please email us at info@zeeniyaconsulting.com or call 020 8124 6737.
02The information we collect
We only collect the information we need. This may include:
- Enquiries: your name, company or club name, email address, phone number and the details you include in your message when you contact us through our website, by email or by phone.
- Clients: the information we need to provide our services, such as contact details, identity documents, financial records, tax references, and payroll and employee details.
- Website visitors: limited technical information, as explained in our cookie policy.
03How we use your information
We use your information to:
- respond to your enquiry and discuss how we can help;
- provide our accounting, tax, payroll and advisory services, and manage our relationship with you;
- meet our legal and regulatory obligations, including identity checks and keeping proper records;
- send you updates or marketing emails, but only where you have agreed to receive them or where the law otherwise allows, and you can unsubscribe at any time;
- keep our website and systems secure and working properly.
04Our legal basis for using it
Under UK data protection law, we must have a lawful basis for using your information. Depending on the situation, we rely on:
- Contract: where we need the information to provide services you have engaged us for, or to take steps before doing so.
- Legal obligation: where the law requires us to use or keep the information.
- Legitimate interests: for example, responding to enquiries and running our business, where this does not override your rights.
- Consent: for marketing emails and non-essential cookies. You can withdraw your consent at any time.
05Who we share it with
We never sell your information. We only share it where necessary, with:
- service providers who help us run our business, such as our email, website hosting and IT providers;
- accounting and bookkeeping software providers, such as Xero, QuickBooks and Dext, where we use them to deliver our services to you;
- HMRC, Companies House, The Pensions Regulator and other authorities, when acting on your behalf or where the law requires;
- our professional advisers, insurers and regulators, where required.
Anyone we share your information with must keep it secure and use it only for the purpose we have agreed.
06Transfers outside the UK
Some of our service providers may store or process information outside the UK. Where this happens, we make sure appropriate safeguards are in place, as required by UK data protection law.
07How long we keep it
We keep your information only for as long as we need it:
- Enquiries that do not lead to us working together are deleted within 12 months.
- Client records are normally kept for 6 years after our relationship ends, so that we can meet our legal and regulatory obligations.
08Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, or to restrict how we use it;
- object to us using your information, including for marketing;
- ask for your information to be transferred to another organisation;
- withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, email us at info@zeeniyaconsulting.com. We will respond within one month. Some rights are limited where we must keep information by law.
09Keeping your information secure
We use appropriate technical and organisational measures to protect your information, including secure cloud systems, access controls and strong passwords. Only people who need your information to do their job can access it.
10Complaints
If you are unhappy with how we have used your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
